Frame to Finish Cleaning Ltd. (“Frame to Finish,” “we,” “us,” or “our”) is committed to protecting the personal information of our clients, prospective clients, employees, and website visitors. This Privacy Policy explains what personal information we collect, why we collect it, how we use, disclose, and safeguard it, and how you can reach us with questions or requests.

Frame to Finish Cleaning Ltd. operates exclusively within Alberta. As an Alberta business, we handle personal information in accordance with Alberta's Personal Information Protection Act (PIPA), Alberta's private-sector privacy law. If we ever begin operating outside Alberta or handling personal information as part of interprovincial commercial activity, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply, and this Policy would be updated to reflect that.

This Privacy Policy is separate from our Operational Policies & Procedures, which set out the terms of the cleaning service itself, and from our website Terms of Service, which govern use of our site. All three documents apply together when you book with us.

What we collect depends on how you interact with us:

1.1 On our website

- Contact form submissions — your name, email address, and message, if you reach out to request a quote or ask a question

- Email subscription — your email address and (if provided) your name, if you sign up for our newsletter

1.2 When you book or become a client

- Contact information — your name, address or service location, phone number, and email address

- Booking and service details — the type, frequency, and location of service, and any special instructions (e.g., pet information, product preferences)

- Access information — door codes, spare keys, or lockbox combinations you provide so we can access your home or business

- Payment information — records of payments made by cash, e-transfer, or cheque (we do not process or store credit card numbers)

- Communications — emails, messages, or call notes related to your booking or service

1.3 If you apply to work with us

- Employment information — information collected through the hiring process, including background check results

2. How we collect personal information

We collect personal information directly from you — through our website's contact or subscription forms, by email, by phone, or in person — and, for staff, through the hiring and background-check process.

3. Why we collect personal information

We use personal information to:

- Provide quotes, schedule, and deliver cleaning services

- Access your home or business to perform the service you've booked

- Invoice and process payment for services rendered

- Communicate with you about appointments, changes, or post-service concerns

- Meet our legal, insurance, and bonding obligations

- Screen and manage staff, including background checks

- With your consent, send our email newsletter and occasional promotional communications

4. Email newsletter and subscription form

Our website includes an email sign-up form where you can opt in to receive our newsletter, promotions, and cleaning tips. Signing up is entirely optional and separate from booking a service — we do not require you to subscribe in order to receive a quote or book a clean. By submitting the form, you consent to receive these emails from us.

Every email we send will identify Frame to Finish Cleaning Ltd. as the sender, include a valid mailing address, and provide a working unsubscribe link. You can unsubscribe at any time by clicking that link or by contacting us at frametofinishcleaning@gmail.com. We'll process unsubscribe requests within 10 business days.

5. Consent

By booking a service with us, you consent to our collecting, using, and disclosing your personal information as described in this Policy for the purpose of providing that service. Where we'd like to use your information for a purpose not covered here — for example, a marketing testimonial or photo — we'll ask for your separate consent, as described in our Operational Policies.

6. Disclosure of your information

We do not sell, rent, or share your personal information with any third party for their own marketing purposes. We will not disclose your information to anyone outside Frame to Finish Cleaning Ltd. without your consent, with no exceptions, except where required or permitted by law — for example, to comply with a court order, or where necessary to protect the health or safety of a person.

Within our own team, access to your information is limited to staff who need it to deliver your service — for example, the cleaning technician(s) assigned to your home. All staff undergo a background check and are expected to treat client information as confidential.

7. How we protect your information

Access codes, keys, and lockbox combinations you provide are stored securely and shared only with the staff member(s) scheduled to attend your service. We take reasonable administrative and technical steps to protect all personal information in our care against loss, theft, and unauthorized access, use, disclosure, or modification.

8. How long we keep your information

We keep personal information only as long as needed to provide our services, meet our accounting and tax obligations (e.g., CRA record-keeping requirements), and satisfy any applicable legal or insurance requirements, after which it is securely destroyed or de-identified.

9. Your rights and access requests

Under Alberta's PIPA, you have the right to request access to the personal information we hold about you and to request that we correct any inaccuracies. To make a request, contact us at frametofinishcleaning@gmail.com. We may need to verify your identity before responding, and we'll respond within the timeframe required by law.

10. Cookies and website analytics

Our website is built on Wix and uses Wix's built-in site analytics to understand how visitors use the site (for example, pages viewed and general traffic patterns). We also use Google (such as Google Analytics) for similar site-performance insights, and the Meta Pixel on our Facebook and Instagram-linked activity, which allows us to measure the performance of our social media content and, where applicable, show our ads to people who have previously visited our site or interacted with our social pages.

These tools may place cookies or similar technologies on your device and collect non-identifying information such as browser type, device type, and pages visited; Meta's tool may also be used to match site visits to a Facebook or Instagram profile for advertising purposes, governed by Meta's own data policy. You can adjust your browser settings to limit or block cookies, and can manage ad personalization directly through your Meta account settings; doing so may affect some site features or ad relevance.
